Quick answers, and exactly what MotoCapture does and doesn't collect.
How does mileage get updated, and which way should I use?
Mileage-based maintenance plans only know something is due soon or overdue by
comparing the plan's next-due mileage against the vehicle's current mileage on
file. There are two habits worth keeping.
- Update the odometer reading directly every so often, even between services, so "Due soon" / "Overdue" badges stay accurate.
- When you complete a service, log it instead - this records the work, advances the linked plan's next-due date automatically, and updates the vehicle's mileage in one step.
- An odometer photo reviewed from the phone Capture Inbox behaves like the direct update: it sets the mileage with no history entry.
How do I add a vehicle?
Open the Vehicles tab and click "+ Add vehicle." Make, model, year, and current
mileage are required - VIN, purchase date, and notes are optional and can be added
later.
How do I record a completed service or a one-off repair?
Open a vehicle, then click "+ Log service." Pick a maintenance plan to log a
completed recurring service, or leave it as a one-off repair for something like an
alternator replacement that isn't on a schedule. If the service completes a plan,
its next-due mileage and date update automatically.
How do I set up maintenance intervals?
From a vehicle's page, click "+ Add plan." Start from a template or build one from
scratch, then choose whether it repeats by mileage, by time, or by whichever comes
first. Template intervals are generic starting points, not manufacturer data for
your specific vehicle - always check your owner's manual.
How do I back up and restore my data?
"Export all data (JSON)" saves every vehicle, plan, service record, and attachment
reference. "Export portable archive (.cartrack)" does the same and also bundles the
actual receipt and photo files, so it's the more complete option when moving to a
new computer. Both restore options replace everything currently in the app - there's
no merge, and you'll be asked to confirm first.
How do I use the phone capture companion?
On the Dashboard, click "Connect Phone" and scan the QR code with your phone's
camera while it's on the same Wi-Fi network as your computer. That opens a simple
page with four capture buttons: receipt/invoice, odometer, document, and other.
The phone only captures and sends files - everything lands in the Inbox tab on the
desktop for review.
Is it safe to use the phone capture companion?
Yes, as long as you only use it on your own home Wi-Fi. The connection is direct
between your two devices over your local network - nothing is sent over the
internet. It isn't hardened the way a banking app would be, so avoid public Wi-Fi,
and it disappears entirely as soon as you stop the phone server or close the app.
How do I export a vehicle's service history?
Open a vehicle. "Export CSV" saves that vehicle's service records as a
spreadsheet-friendly file. "Export PDF report" generates a formatted history report
with maintenance plans, a chronological timeline, cost summary, and attachment
references - useful for documenting or selling the vehicle.
What is the Maintenance Checklist?
It compares your plans and service records against common maintenance categories
(oil, brakes, tires, and so on) and shows each as Tracked, Logged only, or Not on
file. It's meant to surface gaps, not to tell you what your specific vehicle needs.
What MotoCapture collects
Nothing, by default. There's no account, no analytics, and no telemetry. Every
vehicle, maintenance plan, service record, receipt, and other piece of information
you enter is stored in a local SQLite database and local files on your own device.
Nothing is transmitted anywhere unless you explicitly export, back up, sync, share,
or submit it yourself.
Phone companion
"Connect Phone" starts a temporary local HTTP server on your own Wi-Fi network.
Your phone talks directly to your desktop over your local network only - nothing
goes over the internet, and the server stops the moment you disconnect or close
the app.
The one exception: opt-in crash reports
Automatic crash reporting is off by default (Settings → "Automatically send crash
reports"). If enabled, an unhandled crash sends a report with the app version, OS,
crash details, and recent diagnostic log entries. This is the only automatic
background network activity in MotoCapture, and only happens after you turn it on.
Feedback and bug reports
Submitting "Report a problem / send feedback" sends your message and, if you
choose, technical details like app version, OS, and recent diagnostic entries,
through a small relay that files them as an issue in a private tracker. The app
never holds any tracker credentials. If the relay is unreachable, your report is
saved to a local file instead of being lost.
Deleting your data
MotoCapture is local-first, so you're always in control. Delete records from
within the app at any time, and make a backup first if you plan to uninstall.
Maintenance interval disclaimer
Templates give a common starting point, not a manufacturer recommendation for your
vehicle. Always verify intervals against your owner's manual or a trusted service
source before relying on them. Nothing in MotoCapture constitutes professional
automotive advice, and the app is provided as is - the developer isn't responsible
for loss, damage, cost, or vehicle issues arising from its use.
